Service Coordinator
Your tasks
We are looking for a highly organized Service Coordinator to serve as the central hub of our service department. Reporting directly to the Service Manager, you will be responsible for the “behind-the-scenes” logistics that make our field service team successful. Your goal is to turn customer requests into actionable plans. You won’t be answering a high-volume hotline; instead, you’ll be focused on scheduling, quoting, and improving our internal processes to ensure our customers receive world-class support with minimal downtime.
Coordination & Scheduling
- Field Resource Planning: Manage the master schedule for our Field Service Technicians, ensuring they are deployed efficiently to meet customer needs.
- Support Oversight: Design and oversee the schedule for our phone support team (including emergency after-hours rotations) to ensure coverage is always available.
- Parts Logistics: Coordinate with the warehouse and supply chain to ensure all parts required for field service activities are ordered, tracked, and ready for the team.
Process & Data Management
- SOP Maintenance: Assist the Service Manager in developing and documenting Standard Operating Procedures (SOPs) to keep the department running consistently and efficiently.
- Salesforce Administration: Act as a primary user for our Salesforce CRM—maintaining data accuracy, tracking service trends, and finding ways to use the system more effectively.
- Reporting: Compile weekly and monthly reports on open service issues, resolution times, and customer status updates for management review.
Service Support & Quoting
- Customer Estimates: Prepare and send professional written quotations to customers for field service repairs and maintenance.
- Service Contracts: Promote and facilitate service contracts for customers, helping them move from reactive repairs to proactive maintenance.
Spare Parts Packages: Develop recommended spare parts lists for both new installations and used machinery to help customers prepare for future needs.
Your profile
- Experience: 2–4 years in a B2B service environment, technical coordination, or a similar logistics-heavy role.
- Tech Skills: Proficient with CRM systems (Salesforce highly preferred) and standard office software.
- Education: A 2 or 4-year technical degree is preferred, but equivalent experience in industrial machinery will be considered.
- Communication: Strong written and verbal skills; you should be comfortable acting as the professional liaison between Sales, Operations, and the Customer.
- The “Can-Do” Mindset: A positive, solutions-oriented attitude with a high degree of organizational skill and attention to detail.
